Preparing for a Commercial EPC: A Practical Checklist for Property Owners
Preparing the right information before a commercial EPC survey helps your assessor understand the building and reduces avoidable follow-up enquiries. Start with the property address, the areas being assessed, any existing EPC and the records you hold for insulation, heating, cooling, lighting and solar panels.
1. Confirm which parts of the building need assessing
Tell your assessor whether the instruction covers the whole building, an individual unit or selected floors. Identify shared entrances, plant rooms and any services supplying other occupiers. If the property has been extended or subdivided, send the available drawings and explain what changed.
2. Gather plans and records of building work
Useful documents include floor plans, building specifications, completion records and information about extensions or refurbishments. Label which part of the property each document relates to. A specification for a new extension should not be assumed to describe the original building.
Where you hold insulation invoices, product details or photographs taken during installation, send them ahead of the visit. Your assessor will review whether the evidence supports the assessment. Documentation is particularly useful where construction details are concealed.
3. Find heating, cooling and lighting information
Gather equipment schedules, model details, manuals and commissioning records where available. Explain which systems serve each area, including spaces with both radiators and air conditioning. Make sure the assessor can safely inspect relevant equipment and controls.
For lighting, provide specifications or installation records if you have them. For solar PV, include the installation documentation and clarify which building or part of the site the system serves. Do not worry if your records are incomplete: explain the gaps so the assessor can advise what is useful.
4. Arrange access before the appointment
Arrange access to the rooms and service areas within the assessment scope. Let tenants, reception staff and caretakers know about the visit. Identify a contact who understands the building and can explain alterations or shared systems. Tell the assessor beforehand about restricted areas or access arrangements.
5. Explain your objective before commissioning improvements
Are you preparing for a sale or letting, reviewing a low rating, or planning refurbishment? Tell the assessor your objective at the outset. NRG can assess the existing building and model suitable improvement options, comparing their predicted effect on the EPC before you commit to works.
An improvement scenario is a modelled result, not a guaranteed final rating or a prediction of your actual bills. The final assessment depends on the installed specification and supporting evidence.
Common questions
Do I need every document before booking? No. Send what you have and identify missing information. NRG can explain which details are most useful for your property.
Will new equipment automatically improve the rating? A particular upgrade does not guarantee a particular result. Its effect needs to be considered within the assessment of the whole building.
Can I use plans instead of arranging access? Plans help the assessment, but the assessor still needs to validate the building information. Discuss the survey and evidence requirements before booking.
